Cancellation, Refund & Rescheduling Policy

This policy applies to all bookings made with Halisi Travel and Adventure Limited. It should be read together with our Payment Policy.

By confirming a booking, clients agree to the terms below.

  1. Client-Initiated Cancellations:

All cancellation requests must be submitted in writing via email.

1.1 Standard Cancellation Charges

Cancellation fees are calculated based on the number of days before the trip start date:
More than 30 days before departure:

  • Deposit is non-refundable
  • No further charges
  • 15–30 days before departure:
  • Deposit is non-refundable
  • 50% of the total trip cost is forfeited 8–14 days before departure:
  • 75% of the total trip cost is forfeited
  • 7 days or less before departure / No-show:
  • 100% of the total trip cost is forfeited

Note: These charges reflect non-recoverable costs paid in advance to third-party suppliers.

  1. Special Conditions – Kilimanjaro & Safari Trips

National park fees, conservation fees, rescue fees, crew wages, permits, and lodge prepayments are non-refundable once issued or paid.

If a trek or safari is shortened, postponed mid-trip, or terminated early due to client choice, illness, fitness level, or safety reasons, no refunds apply for unused services.

  1. Refund Policy:

Refunds (where applicable) are calculated after deducting non-refundable deposits, fees, and supplier penalties.

Approved refunds are processed within 14–30 business days.

Refunds are issued using the original

payment method, where possible.

Bank charges, card fees, and exchange rate differences are non-refundable.

  1. Rescheduling & Date Changes:

Clients may request to reschedule once, subject to availability.

Rescheduling requests must be made at least 14 days before the original departure date.

A rescheduling fee may apply, and any price difference must be paid by the client.

Rescheduled trips must be taken within 12 months of the original departure date.

  1. Force Majeure:

Halisi Travel and Adventure Limited shall not be liable for cancellations, delays, or changes caused by events beyond our control, including but not limited to:

  • Natural disasters
  • Government restrictions
  • Pandemics or health emergencies
  • Airline cancellations or strikes
  • Political unrest

In such cases, we will make reasonable efforts to reschedule or offer credit, subject to supplier policies.

  1. Company-Initiated Cancellations:

In rare cases where the Company must cancel a trip, clients will be offered:

A full refund of payments received, or

An alternative trip or rescheduled date of equal value

The Company is not responsible for additional expenses such as flights, visas, or insurance.

  1. Travel Insurance Requirement:

All clients are strongly advised to purchase comprehensive travel insurance covering:

  • Trip cancellation
  • Medical emergencies
  • Evacuation and repatriation
  • High-altitude trekking (for Kilimanjaro)
  1. Short Cancellation Terms (Invoice Version)

For invoice and booking confirmation use:

  • Deposits are non-refundable.
  • Cancellations 15–30 days prior: 50% charge.
  • Cancellations 8–14 days prior: 75% charge.
  • Cancellations within 7 days or no-show: 100% charge.
  • Date changes allowed once (≥14 days’ notice), subject to availability.
